Privacy notice: training attendance
When you accept or decline a training session at Taekyon Detmold e.V., a few pieces of data are created. This page tells you briefly and completely which ones, what they are for and how long they stay.
1. Who is responsible?
The controller within the meaning of the GDPR is the club that organises the training:

2. Who processes the data technically?
The technology is provided by calovo: Termine.de AG, Leopoldstraße 2-8, 32051 Herford, Germany. calovo processes the data solely on the club's behalf (processing under Art. 28 GDPR), never for its own purposes and never for advertising. Hosting and e-mail delivery use contractually bound service providers.

3. Which data?
- Your first name (display name) and your e-mail address.
- Your answers ("coming" / "not coming") per session with time and origin (calendar, web or widget) and an optional short note.
- The language of the page and the time you confirmed your e-mail address.
- To prevent abuse, briefly a checksum of your IP address – never the address itself.
- If your club restricts answers to members: your e-mail address and, where given, your name on the member list the club maintains itself in its cockpit, plus your approval status.
Parents answer for children: only the child's first name and a parent's e-mail address are entered. Please do not put health information into the note.
Anyone answering for other people – parents for their children, for instance – enters their first names. They are stored and shown like your own name and deleted within the same periods; "Remove me here" deletes them as well.
4. What for – and on which basis?
So the coaching team knows who is coming and can inform those who accepted when a session is cancelled or moved. The basis is your membership or participation at the club (Art. 6(1)(b) GDPR) and the club's legitimate interest in organising its training (Art. 6(1)(f) GDPR). Answering is voluntary – you can come to training without answering.
5. Who sees what?
- Everyone with the link to the answer page sees the number of acceptances and declines.
- First names are visible only to members who answered themselves with a confirmed e-mail address – and to the coaching team.
- E-mail addresses and notes are visible only to the coaching team in the club's cockpit.
6. Which e-mails will you receive?
Only three kinds: the one-time confirmation link after your first answer; a short message when the club cancels or moves a session you had accepted; and – if the club restricts answers to members – once the message that the coaching team has approved your access. No advertising, no newsletter.
7. Cookies and your device
The answer page uses a session cookie and, after confirmation, a recognition cookie for this club (30 days) so that one tap is enough on your device. No tracking, no advertising cookies.
8. How long does the data stay?
- Answers: 90 days after the session, then they are deleted automatically.
- Unconfirmed sign-ups: deleted after 24 hours.
- Anyone who does not answer for 12 months is deleted automatically.
- Confirmation links are single-use and valid for 24 hours; only a checksum is stored.
- Entries on the member list stay until the club removes them or you remove yourself via "Remove me here".
9. Your rights
You have the right of access, rectification, erasure, restriction of processing and objection, and the right to lodge a complaint with a data protection supervisory authority. Your contact is the club (see imprint).
You can delete your data yourself at any time: every answer page has "Remove me here" – it removes your name, your e-mail address and all answers at this club.
